¶ General Guide to Activating and Connecting the Accounting System
This article provides a universal procedure and recommendations for successfully connecting an accounting system (accounting software or invoicing service) to Fynode. Follow the steps below to avoid common issues during initial setup.
¶ 1. Data and Account Preparation
- Ensure you have the necessary permissions (account administrator, activated API or premium subscription according to the system).
- Find out what data you need for connection:
- Login email or username (often email)
- Password for the account/administration
- API key, API secret, or other unique identifier (see the article about the specific system)
- For some solutions: server URL, warehouse code, invoice numbering sequences, invoice type ID, etc.
- In Fynode, go to the Settings - Accounting System section.
- Select the desired accounting system (SuperFaktura, iDoklad, Fakturoid, and others...).
- Fill in all required details in the integration form.
- Click Activate. The system will attempt to automatically verify the connection and activate the integration.
- If all data are correct, a success message will appear immediately.
- If not, an error message will be displayed with instructions to correct the data (e.g., incorrect API key, inactive subscription, wrong URL...).
- Most integrations allow manual data fetching and verification – it is recommended to try loading existing invoices (or issue a test invoice) immediately after activation.
- Enter access data and API keys securely, ideally store them only in the Fynode integration page.
- Never share API keys or passwords with other users or third parties.
- When changing passwords/API keys in the accounting system, remember to update them also in Fynode.
¶ 5. Setting up Automation and Workflow
- In settings, you can choose when and how to create invoices, pro forma invoices, or credit notes (e.g., upon order status change, payment, or shipping method).
- It is also possible to set up automatic email sending with documents, invoice numbering sequences, archiving rules, and other advanced parameters.
¶ 6. Testing and First Documents
- We recommend issuing a test order and invoicing it to verify proper communication between both systems, data content, and PDF document transfer.
- Check that invoice numbers, totals, dates, and items are correctly synchronized.
- If issues occur, compare logs/reports in the accounting software and Fynode to identify discrepancies.
- Typical errors (wrong URL, missing API rights, expired permissions, incorrect data) are always described in the integration error messages.
